Public Relations Program

Corporate Marketing Communication Support

  • Develop a support program for Event Management to assist it in gaining the highest and best possible exposure for its products and services related primarily but not exclusively to the Event.
  • This includes identification of other key media and events to partner with, forums for Management to participate in, i.e., speaking opportunities for appropriate senior managers, and development of a key editors list that Management will interact with before, during and after events.
  • Work to establish on-going barter relationships with other events and publications that will increase visibility for our events and publications, as well as developing partner relationships with other media and events in the industry sector and in complimentary sectors.
  • As opportunity presents itself develop a speakers bureau for key managers or other associates to gain visibility in the general business community and the IT/Telecom sector

Exhibitor/Sponsor/Speaker Communication Support

  • Develop a support program for exhibitors to assist them in getting the most and best possible exposure for their products and services related to the Event (web site PR and Press guide).
  • Develop and operate e-mail communications system to pavilion sponsors, exhibitors, speakers, media and leading trade associations (or other prime groups of attendees) to keep them informed about coming events related to the Event.
  • Develop a program to reach out for key media contacts, maintain contact program and provide the media contacts to pavilion sponsors and exhibitors for their use in reaching out to exhibitors at the Event.
  • Coordinate press conference schedule and provide facilities and coordination for all media events related to the Event. Provide sponsors/exhibitors/speakers with program of local releases for their re-distribution.

Pre-Event Media Relations

  • Develop a program to build visibility for the Event with key media, pavilion sponsors and exhibitors, attendees,
  • Press releases as news warrants;
  • Develop and manage media database (critical trade, business and local media as well as others to solicit coverage before and during the Event);
  • Maintain e-mail communications system to media and leading trade associations (or other prime groups of attendees) to keep them informed about coming events related to the Event.
  • Develop media relationships that will result in coverage of Event including on-site participation on the Event floor and active coverage at the event.
  • Maintain relationship with external wire services and other PR supplies as designated by the event management.

News Bureau

  • Develop a program to build visibility for management with key media; develop and manage media database (IT, trade, business, financial and local media);
  • Maintain e-mail communications system to media and leading business associations related to each events location for speaking opportunities related to event management.

On-Site PR Management

  • Coordinate press facilities on site including working press center, press conference area, press registration area and interview space for exhibitors to meet the press.
  • Coordinate news coverage during the event,
  • Provide support and assistance to exhibitors/sponsors/speakers for their press coverage.

Post Event Evaluation

  • Provide event press list to sponsors, speakers and exhibitors.
  • Provide post event evaluation of broadcast and print coverage of Event (i.e., order clipping and monitoring services of key media immediately).
  • Survey exhibitors, sponsors, speakers and press for feedback on what we did right and what needs to be improved.
  • Post event wrap up release and post Event "Best of Event" press release for each winner.
